Terms of Service
These terms govern your use of mysite-name's professional ventilation and air conditioning design and installation services across England. Please read them carefully before proceeding with any project to ensure a clear understanding of our engineering approach, client responsibilities, and project procedures.
1. Service Agreement
By proceeding with our ventilation and AC services—whether for design consultation, system installation, or project management—you agree to these terms. Our engineering services operate in compliance with relevant UK building regulations, health and safety standards, and industry best practices.
We provide professional ventilation and air conditioning solutions through our qualified engineers and installers across England.
2. Service Scope and Technical Standards
Our services include system design, equipment specification, installation, commissioning, and related technical consultancy. We focus on providing quality engineering solutions using professional methods and approved equipment suitable for different building types and usage requirements.
While we perform services to professional standards, system performance can be influenced by building characteristics, external environmental factors, and usage patterns. We provide detailed consultations to ensure realistic expectations and satisfactory outcomes.
3. Client Responsibilities
To ensure successful project outcomes, clients agree to:
- Provide accurate building information and access for surveys
- Disclose any structural limitations or access restrictions
- Obtain necessary permissions from landlords or building management
- Ensure safe working conditions and adequate utilities access
- Make timely decisions regarding system options and locations
- Provide payment according to agreed project milestones
Clear communication and proper project preparation help us deliver efficient and effective ventilation solutions.
4. Site Conditions and Access Requirements
Clients must inform us of any site-specific challenges, conservation area restrictions, or listed building considerations before project commencement. We conduct site surveys to identify potential issues, but cannot guarantee unchanged project timelines if unexpected conditions are discovered during installation.
We reserve the right to adjust project schedules or costs if site conditions differ significantly from initial information provided.
5. Quotation and Project Confirmation
Projects are confirmed upon acceptance of our detailed quotation and receipt of any required deposit. Fixed-price quotations are valid for 30 days and assume standard site conditions. Complex projects typically require a design deposit before detailed engineering work begins.
Changes to project scope after confirmation may affect pricing and timelines, which will be communicated through formal variation orders.
6. Pricing and Payment Terms
Service fees are as quoted and payable according to the project agreement. For projects exceeding £5,000, we typically require staged payments aligned with project milestones. Final payment is due upon practical completion unless alternative arrangements are agreed in writing.
Late payments may affect project progression and future service availability. We reserve the right to suspend works if payments are not received as agreed.
7. Health and Safety Compliance
We maintain strict health and safety protocols including risk assessments, method statements, and appropriate insurance coverage. Clients must ensure the worksite is safe for our team and disclose any known hazards before work commences.
We maintain appropriate professional indemnity and public liability insurance but cannot accept responsibility for pre-existing site conditions or client-provided information inaccuracies.
8. Project Timeline Management
We provide estimated project timelines based on current workload and project complexity. While we make every effort to adhere to schedules, some factors beyond our control may affect timing, including equipment availability, weather conditions for external works, and unforeseen site complications.
We communicate timeline changes promptly and work to minimise disruption to your property use.
9. Design and Planning Phase
We strongly recommend comprehensive design development for all ventilation and AC projects. The design phase allows for proper system sizing, equipment selection, and integration planning, ensuring the installed system meets your specific requirements.
Design fees are typically included in project quotations for installations we undertake, though standalone design services are available for clients managing their own installations.
10. Equipment and Warranty
We specify equipment from reputable manufacturers and handle warranty registration on your behalf. Equipment warranties are provided directly by manufacturers, while our workmanship warranty covers installation quality for 2 years from completion date.
Warranty claims require proper system maintenance as per manufacturer recommendations, which we can provide through our service plans.
11. Regulatory Compliance and Certification
We ensure installations comply with current Building Regulations and industry standards. Upon project completion, we provide all necessary certification including Building Regulations compliance certificates where required.
Clients are responsible for informing us of any specific regulatory requirements or planning conditions affecting their property.
12. System Performance and Expectations
We design systems to meet specified performance criteria based on standard engineering calculations. Actual performance can vary due to factors including building insulation, solar gain, occupancy patterns, and external climate conditions.
Clients are responsible for providing accurate usage requirements during the design phase to ensure systems are appropriately sized.
13. Liability Limitations
Our liability for engineering services is limited to the project fees paid. We cannot accept responsibility for pre-existing building defects, inadequate building fabric performance, or system operation outside design parameters.
We maintain appropriate insurance and follow industry best practices in all our ventilation and AC services.
14. Terms Modification
We reserve the right to update these terms periodically to reflect changes in our services, UK regulations, or industry practices. The current terms are always available on our website, and continued use of our services constitutes acceptance of any updates.
